TERMS & CONDITIONS 

Applicable to All Trips Organized by Du Repos Expeditions Uganda

1. Booking Confirmation

A booking shall be considered confirmed only upon receipt of the required deposit payment of thirty percent (30%) of the total trip cost. The remaining balance must be settled within the period communicated prior to the trip departure date. 

Du Repos Expeditions reserves the right to cancel any booking where full payment has not been received by the specified deadline. 

2. Package Inclusions

Unless otherwise stated in the itinerary, the trip cost includes: 

  • Ground transportation for the duration of the trip 
  • Accommodation as specified in the itinerary 
  • Meals as indicated in the program 
  • Entrance fees to attractions included in the itinerary 
  • Services of a professional tour guide or trip coordinator 
  • Organized group activities as outlined in the itinerary

3. Package Exclusions

The trip cost does not include: 

  • Visa fees for entry into destination countries 
  • Travel insurance 
  • Personal expenses including drinks, laundry, shopping, and personal purchases 
  • Optional excursions or activities not specified in the itinerary 
  • Tips and gratuities 
  • Medical expenses or emergency evacuation costs 

Additional costs arising from personal delays or failure to meet travel requirements  

4. Passport, Visa & Travel Documentation

It is the responsibility of each traveler to ensure they possess a valid passport with at least six (6) months validity, as well as any required visas, permits, vaccination certificates, or other travel documentation required by the destination country. 

Du Repos Expeditions shall not be held responsible for any costs or losses resulting from a traveler’s failure to comply with immigration or health requirements. 

5. Travel Insurance

Participants traveling on cross-border trips are strongly advised to obtain comprehensive travel insurance covering: 

  • Medical emergencies 
  • Personal accidents 
  • Emergency evacuation 
  • Trip cancellation or interruption 
  • Loss or damage to personal belongings 

Du Repos Expeditions shall not be liable for any financial losses resulting from a traveler’s failure to obtain adequate insurance coverage. 

 6. Price Validity & Currency

All trip prices are based on current operational costs including fuel prices, park entrance fees, accommodation rates, and exchange rates at the time of publication. 

Du Repos Expeditions reserves the right to adjust prices in the event of significant changes in fuel costs, government taxes, park fees, accommodation rates, or currency exchange rates prior to the trip departure date. Clients will be informed in advance should such adjustments become necessary.

7. Cancellation & Refund Policy

In the event that a traveler cancels participation in a confirmed trip, the following refund policy shall apply: 

  • More than 20 days before departure: 70% refund (excluding deposit) 
  • 10 – 20 days before departure: 50% refund 
  • 5 – 9 days before departure: 25% refund 
  • Less than 5 days before departure: No refund 

Refunds shall be processed within 7–14 working days from the date of approval. 

8. Minimum Group Size 

Certain group trips require a minimum number of participants in order to operate. 

If the required number of participants is not reached, Du Repos Expeditions reserves the right to: 

  • Reschedule the trip to a later date 
  • Offer an alternative trip of similar value 
  • Provide a full refund of payments made 

Participants will be notified in advance should such a situation occur.

9. Border & Immigration Procedures

Du Repos Expeditions shall not be held responsible for delays caused by border clearance procedures, immigration inspections, customs processes, or government regulations. 

Travelers are required to cooperate with immigration authorities and ensure that all required travel documents are valid and available. Any costs resulting from denied entry, incomplete documentation, or immigration refusal shall be the sole responsibility of the traveler. 

10. Changes to Itinerary

Du Repos Expeditions reserves the right to make reasonable modifications to the itinerary when necessary due to factors including but not limited to: 

  • Weather conditions 
  • Road or transport disruptions 
  • Government regulations 
  • Border procedures 
  • Safety considerations 

Such adjustments shall be made in the best interest of the group while maintaining the overall travel experience. 

11. Force Majeure

Du Repos Expeditions shall not be held liable for failure to perform obligations under these terms where such failure is caused by events beyond reasonable control, including but not limited to: 

  • Natural disasters 
  • Political unrest 
  • Pandemics or public health emergencies 
  • Government travel restrictions 
  • Border closures or transportation disruptions 
  • Strikes or civil disturbances 

In such circumstances, Du Repos Expeditions will make reasonable efforts to reschedule the trip or offer credit toward a future trip, subject to costs already incurred.

12. Traveler Conduct

All participants are expected to conduct themselves in a respectful and responsible manner throughout the trip. 

Du Repos Expeditions reserves the right to remove any traveler whose behavior is disruptive, unsafe, or harmful to other participants or service providers. In such cases, no refund shall be issued.

13. Payment Default

Participants who choose to pay for trips in installments are required to follow the agreed payment schedule. 

Failure to meet installment deadlines may result in cancellation of the booking and forfeiture of any deposits or payments already made, unless otherwise agreed in writing by Du Repos Expeditions. 

Du Repos Expeditions reserves the right to reallocate the reserved space to another traveler if payment obligations are not fulfilled.

14. Limitation of Liability

Du Repos Expeditions acts solely as an organizer and facilitator of travel arrangements. While every effort is made to ensure safe and enjoyable travel experiences, the company shall not be held liable for: 

  • Delays, cancellations, or changes caused by third-party service providers 
  • Weather conditions or natural events 
  • Loss, theft, or damage to personal property 

Injuries, illness, or accidents occurring during the trip beyond reasonable control

15. Acceptance of Terms

By making a booking and participating in any trip organized by Du Repos Expeditions Uganda, the traveler confirms that they have read, understood, and agreed to these Terms and Conditions.
